Short version: we collect only what we need to reply to you, we keep it only as long as the conversation is alive, and you can ask us to show it or delete it at any time.

When you use a form on this site (free mockup, free audit, book a call, contact), we collect what you type in: your business name, a website or social-media link, your WhatsApp number, your email address if you give it, and any message you write. We use it for one purpose: to respond to your request, prepare the mockup or audit you asked for, and talk to you about it on WhatsApp or email. The lawful basis is your consent (the tick box on the form) and the steps needed before entering into a contract with you.
We also record how you found the page (campaign parameters in the link, the referring site, and the Meta or Google click identifiers), so we know which advert brought you here. We use this only to measure our own advertising.
This site uses Google Analytics 4 and the Meta Pixel, including Meta's Conversions API, to measure visits and form submissions. These tools set cookies and receive a hashed form of your contact details when you submit a form, so that a lead can be matched to the advert that produced it. We do not sell or rent your information, and we do not build advertising profiles of you beyond what these platforms do under their own policies. You can block these cookies in your browser; the site and forms still work.
Form submissions are sent to our own application at app.octastudio.co.za and, as a backup, to an email delivery service, so that your request reaches us even if one system fails. We use Vercel for hosting, Google (Analytics, Ads), Meta (Pixel, Conversions API) and a transactional email provider. Some of these providers process data outside South Africa under their standard contractual protections.
If you become a client, your details are kept for the duration of our agreement and for five years afterwards for tax and record-keeping purposes. If you do not become a client, we delete your form submission and related messages within 12 months of our last contact, or sooner if you ask.
You may ask us at any time to confirm what personal information we hold about you, to correct it, to delete it, or to stop contacting you. Forms are submitted over HTTPS. Access to submissions is limited to Renaldo Bothma. We take reasonable technical and organisational steps to protect your information and will notify you and the Regulator if a breach affecting you occurs.
If this policy changes, the date at the top changes with it. Material changes will be noted on this page.
